1. Corporate Scope & Controller Identification

This Privacy Policy governs the processing of technical inquiries, commercial procurement data, and digital communications by Coir Club Technologies ("Coir Club", "we", "us", or "our"), operating sustainable bio-composite processing and cocopeat manufacturing facilities across the coastal agricultural corridors of India and Sri Lanka with global distribution desks serving North America, Europe, Asia-Pacific, and the Middle East.

2. Categories of Information Collected

As an enterprise B2B bio-material manufacturer, we only collect information necessary to evaluate commercial specifications, fulfill international container exports, and provide accredited technical data sheets (TDS):

  • Commercial Inquiry Details: Name, corporate designation, business email address, corporate entity name, country of destination, and target applications (e.g. hydroponic substrates, molded packaging, or geotextiles).
  • Direct Communications: Messages, technical constraints, and logistics inquiries submitted via our web forms, email desk (rohith@coir.club), or authorized WhatsApp Business portal (+91 90523 67888).
  • Shipping & Compliance Documentation: Consignee delivery coordinates, port of destination, tax/import identifiers (such as VAT, EIN, or IEC numbers) required strictly for Phytosanitary Inspection and Customs clearance.
  • Technical Web Analytics: Anonymous, aggregated session telemetry (device category, general country-level IP resolution, and page engagement) without invasive cross-site advertising identifiers.

3. Legal Basis & International Compliance

We adhere to recognized international data protection frameworks, including the European Union General Data Protection Regulation (GDPR), the California Consumer Privacy Act (CCPA), and the Indian Digital Personal Data Protection Act (DPDPA). Data processing is conducted on the legal basis of:

  • Contractual Performance: Processing required to issue commercial proforma invoices, export quotations, and physical material specimens.
  • Legitimate Business Interests: Verifying commercial suitability of bio-materials, refining dynamic transit shock resistance curves, and maintaining laboratory traceability records.
  • Statutory Compliance: Fulfilling mandatory export declarations, maritime transport manifests, and environmental compliance audits.

4. Zero Third-Party Commercial Monetization

Coir Club enforces a strict non-monetization pledge. We do not sell, rent, broker, or trade client, grower, or distributor contact details to third-party data brokers, marketers, or advertisers under any circumstances. Information is shared exclusively with accredited freight forwarders, maritime shipping lines, and statutory phytosanitary border agencies to execute physical delivery.

5. Data Security & Retention Protocols

All client interactions and export documentation are preserved within encrypted databases adhering to enterprise TLS 1.3 encryption in transit and AES-256 at rest. Records relating to export shipments and material batch lot numbers are retained for statutory periods required by international maritime law and ISO 9001/14001 quality audits.

6. Your Rights & Data Subject Requests

Depending on your operational jurisdiction, you retain statutory rights regarding your personal information:

  • Right to Access: Request a verified copy of all enterprise records associated with your email or organization.
  • Right to Rectification: Correct imprecise business addresses, tax registrations, or point-of-contact details.
  • Right to Erasure ("Right to be Forgotten"): Request permanent deletion of non-statutory commercial inquiries and newsletter subscriptions.
  • Right to Restrict or Object: Opt out of technical bulletins or direct correspondence at any time.
